Manual Processes Holding Back a Dynamic IT Portfolio

SoCura's IT PMO manages over 30 projects annually with its project managers, ranging from emergency call app development and compliance consulting to large-scale infrastructure migrations and IT governance implementations.

Managing this dynamic portfolio came with several challenges during the project planning phase:

  • Frequent scope changes impacting time, cost, and risk
  • Phase-based planning where effort is unclear until after the initiation phase
  • Projects ending upon completion of the initiation phase
  • Unplanned projects triggered by legal or technical needs

These issues were compounded by a fragmented toolset—Excel for resource planning, MS Project for timelines—requiring manual data transfer and leading to:

Unlike many organizations that track all resources in their PPM tool, SoCura focuses exclusively on their 13 project managers for the time being. Other resources (developers, specialists) are managed through direct communication and strategic discussion with department heads. Timesheet data for non-PM resources flows in solely for invoicing purposes.

When resource conflicts or overloads occur, monthly planning meetings use ProjectAdvantage data to:

  • Review resource utilization
  • Identify overbooked project managers
  • Discuss project priorities and adjust allocations
  • Monitor underbooked resources and assign new projects from the idea pipeline
