  • Drive better performance across projects

Project portfolio management tools are critical for any organization that need visibility into all their projects, to understand how people are executing projects, and drive better decision making that will optimize performance.

Projectplace project portfolios enable you to organize like projects into a single place and consistently and easily provide consolidated reporting against the entire portfolio for all stakeholders. Stakeholders from every corner of the organization get the ability to quickly and easily:

    • Track performance across the projects that matter to them
    • Pinpoint projects that may need attention or potential bottlenecks
    • Identify top performers or resources that are overutilized

This ability to organize projects into portfolios and track and manage their performance in a consistent way leads to improved optimization of projects, as well as people and monetary resources across the organization.

  • Know and report

The Projectplace PPM tool simplifies the reporting of project status. A reporting tab within each project enables project managers to provide what’s needed with simple clicks and comment boxes. This ensures that everyone involved gets a consistent picture of project health and progress, and no last-minute data gathering mountains must be climbed once a quarter when management needs to know what’s happening.

Project and portfolio management is further assisted by empowering portfolio administrators to select how often these status updates should occur; a simple email reminds project managers that it’s time to complete the updates. All project status reports roll up to present a picture of the health of the entire project portfolio, into concise digests for easy viewing and quick comprehension.

To understand which projects might present problems in the future, it’s easy to drill down with just a click, or use the robust search functionality. See the last time a portfolio was updated, the project manager, the priority of the projects, and project KPIs.

Project and portfolio reports can be downloaded with one click into an easy-to-read Word document digest. This is an ideal option for large meetings, for presenting to management, or simply to keep a historic log.

  • Enrich your experience with Power BI

The Projectplace portfolio reporting experience is further enriched when you leverage the integration with Microsoft Power BI to dive deeper and see more about your projects and portfolio. With the Projectplace content pack for Power BI, you’ll interactively view key project statistics, find out who your most active and productive team members are, and identify at-risk projects and portfolios.

You can extend the out-of-the box dashboard and reports to get the insights that are most important to you, or design exactly the reports you need. Projectplace and Power BI make it easy. Power BI enables easy drill-down within analytics, from high-level views into to the numbers that created those views.

Because it’s a web-based tool, you can see the Power BI dashboard anywhere, and even stakeholders without Projectplace accounts can view the analytics.

  • Track what matters: KPIs

Project portfolio managers, administrators, project managers, management stakeholders: each group has different daily requirements but are driving to the same corporate goals. Project and portfolio performance measurements and deadlines must be set and tracked to ensure that success is both defined and is attainable.

The Projectplace project portfolios enable portfolio administrators to set KPIs for all projects quickly and easily. The application comes with best practice KPIs out of the box, including items such as:

    • Project status
    • Budget
    • Actuals vs planned costs
    • Potential savings
    • Risk
    • Quality
    • Time
    • Milestones
    • Labor
    • And many others

Many organizations have custom performance indicators, often based on their industries, fiscal drivers, and other concerns. That’s why Projectplace makes it easy to create your own KPIs, centered solely on your organizational or even project needs.

Once selected, out-of-the-box and custom KPIs can be adjusted, added to, and removed easily, resulting in a KPI set that helps stakeholders focus on what matters. It also makes it possible to have different sets of KPIs for different portfolios.

You can also see the trend for a KPI as a project progresses. Quickly assess whether a particular KPI needs additional attention, and spot changes, risks, and urgencies for each KPI.

KPIs can be sorted into six different types:

    • Date-based
    • Monetary
    • Numeric
    • Status
    • Select/pick-list
    • Text-based/custom

This sorting allows those viewing reports to quickly sort by type.

KPIs can further be allocated into one of three categories:

    • Budget
    • General
    • Deviations

These allocations are color coded, and status summaries quickly show which projects are in danger of deviating from the plan. The colors define the severity of that deviation, and project managers can also add commentary to give context and reasons for why a KPI is falling beyond the expected bounds.

  • Communicate across the organization

It’s critical to communicate the ongoing status and ultimate results of a project across the breadth of the organization, but not everyone needs the same level of detail. Projectplace enables three different views to ensure everyone gets exactly what they need:

    • A view of the entire portfolio with all projects and their portfolios and KPIs
    • A high-level view of the portfolio timeline with start- and end-dates and milestones
    • A quick-glance digest of portfolio health

You can also use the instant messaging-like collaboration features baked into all aspects of Projectplace to ensure project portfolio optimization. Carry on conversations about projects and the portfolio, get fast answers to tricky questions – even when team members are on far-flung continents. And because Projectplace time- and date-stamps all conversations, you have a historical copy of your collaboration, without having to search through long and complicated email strings to find them.

  • Mobile apps keep you updated

Android or iOS, it doesn’t matter: Projectplace has apps for that, and they’re designed to keep everyone with a stake in your projects and portfolios engaged and in the know, no matter their location.

With robust functionality paired with an intuitive interface, Projectplace mobile apps ensure you can connect from anywhere.
